As a May 2025 bride, I was in search of a month of coordinator who was also familiar with our Napa venue. After speaking with several planners, we landed on Heather at Ybarra Events. Although she was technically only "month of", she provided open communication and vendor recommendations straight away in addition to conducting a venue walkthrough and formal menu tasting with the event and catering coordinator. Additionally, we had a few longer meetings in the last couple months leading up to the wedding which made sure every detail was in place and all questions were answered. Heather was fantastic on the day and was very hands-on with setup/breakdown, ceremony pacing, and late-night details that are often forgotten. She was so sweet throughout the entire process, and I'm grateful we were able to work together for this very important occasion that went off without a hitch. Thank you! -

We had the pleasure of working with Heather Bair from Ybarra Events as our "month of" wedding planner for our October 2023 wedding. Heather's expertise and professionalism in event planning were evident from the start. She brought a level of organization and foresight that was both reassuring and impressive, making it clear that we could trust her to execute our vision flawlessly.
Despite the inherent stress of wedding planning, Heather's methodical approach significantly eased our worries. Her communication was clear and effective, utilizing a mix of emails, planned zoom calls, texts and wedding planning tools to plan and orchestrate our big day. Heather's knack for asking essential questions, ones we hadn't thought to ask ourselves, was particularly invaluable. This attention to detail ensured that every aspect of our wedding was considered and carefully planned, and wow did all that work pay off!

I recently had the pleasure of working with Tara and team as a fellow vendor for a wedding at Straus Home Ranch. As a wedding florist, much of my success comes down to the nitty gritty of logistics and timeline. So having a really solid planner on hand makes all the difference in a smooth operation for me and my team, allowing us to provide a beautiful end result for my client. And speaking from much experience, the lack of a planner (or lack of a GOOD planner), can have the complete opposite effect.
Tara and her team were so kind, gracious, communicative, and supportive throughout our planning and day-of setup. Always with a smile on their face, well versed in the venue, and with a 'make it happen' team energy. I wish I could work with Tara on a regular basis, because she made my job feel that much more enjoyable and rewarding, and that extended to the couple, their family, and friends. We worked with Heather from Ybarra events to plan our September 2023 wedding at Mountain House Estate, and her expertise was invaluable in planning our big day. Planning a wedding is extremely stressful, but Heather could always be relied upon to provide calm, positivity, and sound advice. Talking to Heather is like getting a warm hug!
Leading up to the big day, Heather was always quick with answers to our questions, provided some great vendor recommendations, ensured that we were on track for all the major to-dos, and joined many of our vendor calls to ensure we were asking the right questions. Having a planner like Heather is great for the times when you and your spouse may not agree on an aspect of the wedding- getting an expert opinion can help ease some of those decisions.
We loved that she had worked at our venue many times - this came in handy with things like planning our layout and schedule. We had some problems with one of our vendors, to the point where I was in tears the week before our wedding, and Heather went above and beyond to communicate our concerns to them, and helped me feel like I was not a crazy Bridezilla.
The day of our wedding, I didn't have to think about any of the details- Heather and her assistant made sure that everything ran smoothly so that me and the groom could soak it all in and enjoy.

Ybarra Events was recommended by our venue and we are absolutely blessed that we hired them to plan our wedding. We worked with Tara, who is the kindest soul and a true mastermind at her job. Even though we only hired Tara to be our month-of planner, she worked with us closely over the course of the year leading up to the big event. I was largely developing my plan, decorations, etc, but she was ALWAYS available anytime I needed help or advice. Tara assisted me in suggesting reliable vendors, brainstorming fun ideas, working out reasonable logistics and set us up with the Aisle Planner software. She was an absolute godsend and that was amplified multitudes the day of the wedding! We 110% recommend you work with them for your wedding, you will not be disappointed.
Come wedding day, I know despite being cool as a cucumber in most scenarios- I'm also a bit type A when I have a vision to create. Trusting the process, I brought all the things I had prepared to the venue and Tara did the rest. Well, Tara knocked it out of the ballpark. My jaw hit the floor when I showed up that afternoon to see that she had executed our vision to perfection and helped coalesce our dream wedding into a reality far exceeding our expectations.Ybarra Events's reply:

Honestly Tara was the best! I can’t imagine ever planning a wedding and executing it all by myself. Having a good wedding planner really can make your whole wedding. Tara is amazing!!!
Tara was such an amazing wedding planner, I'm so so glad we had her by our side. We had to reschedule our wedding from 2020 to 2021, and with the reschedule we were forced to find a new venue and a new planner. Tara was incredibly flexible from the start- she even adapted her normal plans to match what our previous planner was doing! Throughout the whole process, and especially given the craziness with COVID, Tara was so supportive & really put our minds at ease. We loved working with her so much that we asked her to coordinate our rehearsal/welcome drinks as well! She went above and beyond to make the weekend as easy as possible, including taking the items we DIYed for the wedding the night before so we didn't have to find a way to bring them to the venue. Tara was everything we needed! She was the best!!!! We hired her for a day of wedding coordinator, but I felt like she was my wedding coordinator for a month. She met with me twice via zoom and her input on weddings was so helpful. She made my wedding day smooth and stress-free. We had so many last-minute changes because of COVID and she was flexible and made everything work. We didn’t have to worry about anything from the day we hired her. Tara was always at every meeting early and ready to work with questions and answers on hand. She made me realize a lot of wedding details that I did not even know I had to think about. We recommend YBARRA EVENTS 100%!!! IT DOESN'T GET ANY BETTER THAN THIS ONE. Everyone had a good time at our wedding! I had a lot of my wedding party talk to me about how wonderful Tara and James are. Honestly Tara was our absolute most favorite vendor for personality, value, and just making the whole wedding way less stressful. She helped us have the most perfect day which was amazing considering how stressful it was to plan a wedding during this uncertain pandemic with so many rules constantly changing. We had her for "day of" services which was really more of a 2 weeks prior planner. She also was available for consulting immediately after booking her with no associated upcharges. She spent a lot of time helping us organize and budget for our wedding. It was really an amazing experience working with her. If I could go back in time, the only thing I'd change was to upgrade her service to more full planning because she was so worth it.Ybarra Events's reply:

As any couple planning a wedding recently can attest to, planning a wedding during COVID was STRESSFUL. I am certain that we would have gone absolutely mad and perhaps even cancelled the whole thing and eloped had it not been for Tara and her wonderful team! She was the most kind and patient helper along the way. I knew I wanted to work with her from our very first phone call where she gave me so many incredibly helpful ideas to work with within my budget, and she delivered throughout.
On the day of the wedding, there were a few snafus with some of our vendors (as with any planned event, no doubt!) and Tara and her team handled them all wonderfully. We barely even noticed that there was any confusion to begin with, which we credit to Tara and her team. Everything was handled with such professionalism, even during a year that was undoubtedly incredibly stressful for all wedding vendors.
Do yourself a favor and hire these incredibly kind and competent people to help you plan your wedding. You will not regret it!Ybarra Events's reply:

Tara was so wonderful to work with and our wedding seriously went off without any issues— a miracle for taking place during the pandemic and fire season in Sonoma. Tara is incredibly responsive and has such a calming presence. We did the partial planning package and it was great to have her on our side throughout the whole process, always responding quickly to questions and giving advice on vendors. We chose Tara and her team based on note only the great reviews, but also after our initial phone call with them. Immediately, we felt comfortable with them, which was important to us for searching a partner to help us on our big day.
Tara is highly communicative and provides tips/guidelines along the way. We had to move our wedding due to COVID-19, and Tara was extremely helpful in keeping us informed with the county guidelines. We had hired her and her team for day-of wedding coordination, but it felt like Tara was there every step of the way. She was super helpful in answering all our questions and providing guidance. Mother of the Bride
Hiring Tara Ybarra as our event planner was one of the best decisions we made for our daughters September 12, 2020 wedding. Tara’s warm and easy personality made an immediate connection with our daughter and one that will continue in the future. Tara is positive, knowledgeable, organized, experienced, flexible and creative. And yes, deciding to keep the wedding date in a Covid-19 year, we relied on all of Tara’s qualities as we navigated through it all, including fires, evacuations and power outages. to boot! Tara kept us abreast of all the State and local pandemic protocols and what was permissible as well as reasonable. She was always encouraging and genuinely invested in making sure we got the wedding and reception that met our expectations. In the end, it exceeded our wildest dreams. Yes, it was much smaller, different, but it was personable, intimate and very beautiful. God smiled on us that day and our daughter and new son in law were very, very happy. We have lovely memories to last a lifetime. As a extra bonus, we got to meet and enjoy Tara’s husband, James. He helps with the event and later clean up, wonderful couple and partnership.

Hiring Tara was possibly the best decision I made during my wedding planning process! She was so quick to respond to any and all questions I had - she once called me while driving between two of her meetings just because she saw I had emailed her earlier that day. On my wedding day, she and her assistant were extremely helpful organizing all the other vendors, and so positive whenever I asked for their help. Whenever I daydreamed over the details of my wedding, having a wedding planner was not something I anticipated needing. Being the type A personality type that I am, I always figured I would have every detail figured out myself and would just save us a little bit of money planning it myself. Once the engagement was set and we chose our venue, it ended up being a written requirement that we had to have a planner. I tried to think of it in a positive light, and began searching off the venue's list of recommended vendors. Ybarra events was the second Wedding Planning service that we contacted, and it was truly serendipitous! We clicked with Tara immediately over the phone, and within minutes it was like she knew us for years. She helped us navigate the space of having a queer wedding, incorporating both of our tastes and make it something we could be happy with and have everyone enjoy as well. With two strong personalities, that is NOT an easy feat! Since I still wanted to have a bit of creative freedom with the planning, we hired Tara on as a "Day of" coordinator, to assist with the flow of the ceremony/reception and guide the vendors in the last few weeks of preparations. Tara went above and beyond, reaching out to us even before it was agreed upon, to see how we were managing and offer advice if needed. Her knowledge and expertise helped calm so many nerves and concerns that we don't know how we could have made it through without her! She is such a patient, kind human being and neither one of us felt rushed, judged or anything of the sort when it came to making decisions. The wedding itself went off fabulously, and we will forever be grateful to Ybarra events for the effort that was put In to give us the moment we dreamed of!
One piece of advice, if you can afford to hire Tara on for more then just the "Day of" service... DO IT. Her work is beautiful and she has a way of making your visions come to life. It will also save you A LOT of stress and heartache in the long run, knowing your wedding is in the hands of a pro. You'll thank me later.Ybarra Events's reply:

Tara was amazing as our wedding coordinator! Though she was just our day of coordinator, we had lots of contact months in advance of the event, discussing details of the timeline and ideas I had. She took my ideas and expanded on them, and was always very enthusiastic about everything we had planned. I sent a ton of emails to run things by her, and she never seemed to be bothered even after what felt like hundreds of messages!
On the day of the event she made sure everything ran smoothly and exactly according to plan. After the ceremony, I started feeling suffocated by the tightness of the corset on my dress. Tara promptly took out her "emergency kit" and was able to rig something to loosen the corset a little bit. This saved me! I was able to wear my dress comfortably the rest of the night. They also had toys to give out to all the little ones who attended the wedding. This was a great way to help keep them occupied while sitting at the tables. After the wedding was over, Tara and her husband did a fast and efficient job at getting all the cleanup done.
In conclusion, Tara was a dream to work with. So detail oriented, and always very sweet and enthusiastic. Working with her almost felt like I was working with a friend. I highly recommend her for any event you might have!Ybarra Events's reply:

We got married in September 2019. Jumping into wedding planning with no previous experience was daunting to say the least, but Tara saved the day and made the whole experience manageable. We hired Tara in more of a consulting role until about 2 months before the wedding when she fully took over planning and coordination. She is very organized, professional and on top of things but also warm, friendly and a very fun person to work with, which is such a valuable combination! I had some specific visions of how I wanted the wedding to look and feel, and she was receptive and enthusiastic about my ideas while also guiding me in the right direction with all of her learnings and experiences with weddings in the past. I cannot begin to praise Tara Ybarra enough for all she did for me and my family during my daughter's recent wedding in Geyserville, California. Tara is incredibly organized, responsible, responsive, tactful and kind all at the same time. Everything she promised she'd do, she delivered on! She was the first one to get to the church and the last person to leave the reception. Her quiet efficiency impressed not only me at the wedding reception but also several of our guests that commented to me on her competency. Every time in the 8 months of planning this wedding that I reached out to Tara, she answered quickly and knowledgeably. Planning this wedding from a distance turned out not to be a chore with Tara's help. She gave us a heads up on a problem vendor we had hired and quickly recommended another saving us some major frustration and not to mention, money.
I cannot think of one thing negative about Tara. You absolutely cannot go wrong hiring her. My daughter and I both are missing her. She had become one of the family!!

Superb Services
I'm not even sure where to begin. I initially found Tara and her team at a wedding expo in Northern California where I live, but thought, well, I won't be able to use her services because my wedding is in Southern California. But guess again, I explained my situation to Tara and she was more than willing to travel and even accommodate travel expenses to help meet my budget. We got married on November 11, 2018. We only asked for the day of plan (30 days out until day of) and I felt like she was with me the whole time. She was so responsive to any questions I had along the way and even helped me diffuse a crazy situation with my makeup artist. She was able to give me professional advice regarding what to do as well as maintained her professionalism the day of. She was on her game the whole time especially when we almost thought a Plan B was needed due the break out of the so cal fires. I cannot thank her enough for all the hard work she did to make our day super special and she worked her ass off to help set up the ceremony/reception area. We hired Tara as our partial planner for our wedding in Sonoma in August 2018. Planning a wedding in CA from the East Coast can be daunting, but Tara was always able to make us feel at ease.
Here is why she is amazing:
Professionalism: She carries herself with a warm passion for her work that inspires trust and confidence in her ability.
Timeliness: She responds promptly to all communications.
Effort: She consistently went above and beyond to fulfill our needs and requests no matter how complicated or trivial.
Organization: She did not make a single mistake. All pre-planning was done on-time and correctly, and the wedding day went off without a hiccup.
Connections: She has great relationships with some of the best vendors! It was a huge relief and in hindsight a big selling point for us. People are still telling us that we had the best venue, food and dessert of any wedding they have ever attended.

My husband and I got married August 12, 2017. I hired her in December, I believe. I hired her as a full service wedding planner. I am so glad I picked Tara. She was there for me throughout the entire process. Whenever I had any question or changed my mind on different parts of the ceremony, she was always there.
At the wedding, she brought her husband as her assistant. Our day would have not run smoothly without her!

Eveline Sent on 08/03/2018My now husband and I started wedding planning about 1 year before our wedding date in April 2018. We found Tara via online search and previous reviews. The reviews caught my attention because they painted a picture of someone who was organized, down-to-earth, responsible, easy-going, and attentive to detail. And after looking at her website and service packages, quite affordable for the area.
Sure enough, after our phone interview with Tara, we knew we wanted to go with her. We interviewed a total of 4 planners and the others did not give us the sense that they had time to explain to us about everything that they are about as a wedding planner. Tara spent the time to answer every single one of our questions, and she pointed out lots of important points to consider that we as first-time wedding planners did not think about.
Our first meeting with Tara was at the venue, and she was kind, sweet, down-to-earth (just as we picture from the phone call), and we knew that we'd make a great team. We picked a package that was an in-between of a full planner and a day-of coordinator. We wanted to still do our own research to find our vendors and design the look of our wedding, but we wanted to be able to ask questions and have guidance whenever needed. Tara fit the role perfectly. She has experience in almost every field of the wedding industry--She used to help make wedding cakes, she used to do wedding flowers, etc, so she is really knowledgeable with just about anything wedding-related. She thinks broadly and ahead of the game--she has umbrellas ready to bring in case of change in weather, she has a sewing kit in case of any wardrobe malfunction.
Tara was responsive even in the midst of busy wedding season for her, and although sometimes she may need to take some days to focus on the other weddings in the immediate future, she never made us feel that we were left in the dark and she always kept us up-to-date on when she anticipated that she'd be more busy.Ybarra Events's reply:

We’re glad that we hired Tara for full service planning for our wedding in the Santa Cruz redwoods!
Tara has the perfect mix of professionalism and authenticity. Of all of the planners we initially spoke with, Tara stood out to us because she is not only good at what she does, but because she is kind, warm, and genuine.
Our wedding was a little complicated for a few reasons: our multicultural Indian and western celebration led to a lot of unknowns for both sides of the family, our venue had some unique logistical challenges and we were planning a wedding in FOUR months with a tight budget.
Tara was a professional - sourcing, interviewing, and securing vendors within our budget. She devised clever ways of keeping us in budget, including finding a low-cost videographer and helping us build our own mandap. We ended up being very happy with all of the vendors we worked with thanks to Tara!
Tara also served as a calming presence and provided emotional support throughout the planning process. Her soft skills truly set her apart from many planners. Planning a wedding can be daunting and she was an outlet to talk through concerns, weigh pros and cons, and simply provide reassurance when things felt stressful.
A few tips on if you’re thinking about full service planning:
- Take the time to think about and align on your ideal design and vision for the wedding before engaging Tara/at the beginning of the planning process
- Though full service planning takes care of a lot of the work, I would still allot time to do your own budget tracking, invitation/stationary selection, RSVP tracking and website creation
