#1- Make an appointment: Vendors want to give you the time and attention that you deserve. Because they meet with other clients or have other events during the day, it is important that you call ahead and schedule time to meet with them and/or view the facility. This will ensure that they will be ready to assist you with questions and concerns.
#2- Bring as much information about your event as possible. It is easier for vendors to give you proper information if they know dates, times, number of guests, color scheme, etc. If you have ideas or pictures, bring those as well.
#3- Ask their advice and opinion. Because all of these folks are experts in their field, they can help tell you what has worked and what hasn't. Most of them have seen or heard it all...so they can respect your dreams and desires while also giving you the facts, saving you time and money.

Setting up your event space

The atmosphere you create has a lot to do with the way that your event space is arranged. If it is too crowded, people will be grumpy, hot and uncomfortable; if it is too open, then people will feel self conscious and that the event will not seem successful. It is best to find the happy medium when setting up your event space.
Remember that the more items you need to have in the room, the more reduced capacity for seating you will have. Do not expect a room that holds 200 people to also hold 200 people with 4 bars, a dance floor, 3 food stations, etc. You get the picture.
Consult with your venue to find out what has worked best for similar events. They will ensure your guest’s safety, while also making sure your event atmosphere works!
