From our very first interview with Kate, we knew she was the one. She came to the table with an incredible balance of confidence, deep experience, and a completely down-to-earth demeanor. Our initial impression was that she possessed a "Type A" personality in the absolute best way possible—highly structured, incredibly organized, and fiercely detailed. We walked away from that first conversation knowing our wedding was in the best possible hands.
The Planning Process:
Kate’s organization is elite. She maps out a clear, macro-level timeline so you always know what’s coming next, scheduling deep-dive meetings that perfectly correspond to each phase of the process. Her communication is seamless; she was accessible whenever we needed her, and on the rare occasion she wasn’t, she managed expectations upfront about when she’d get back to us.
What we appreciated most was her curated approach. She didn’t rely on cookie-cutter themes from past weddings; instead, she used targeted questionnaires to truly understand our specific vision and brought it to life as a unique, personalized experience. Her vendor network is massive, and she provided exceptional, tailored options for everything—photography, videography, florals, catering, stationery, and bespoke branded details.
Kate never simply said "no" to an idea. If there was a logistical or timing constraint, she immediately pivoted to creative alternatives that achieved the same look and feel. She spent over eight hours with us on a single weekend grinding through our food tasting, venue layout, furniture selection, and floral details without missing a beat. Throughout a process that can easily become overwhelming, Kate’s patience was unmatched. She was an absolute advocate for us, always had our back when negotiating with venues and vendors, and made the entire months-long process feel completely stress-free and adaptive to our demanding daily schedules.
The Execution & Hospitality:
On the wedding day, Kate and her team executed a complex, highly coordinated itinerary flawlessly. Her team operated like a finely tuned orchestra—everyone knew their exact role and maintained a highly professional, cohesive presence.
She had dedicated assistants tracking the bride and groom simultaneously, meaning she had her finger on the pulse of the entire event from sunrise to midnight. Kate checked in with us constantly, ensuring we were updated and completely taken care of. Beyond looking after us, her level of hospitality was incredible. She treated every guest like a VIP, but paid exceptional, personalized attention to our families to ensure all of their specific accommodations were perfectly handled. She also seamlessly managed the logistics for our hotel welcome bags and custom wedding swag.
It felt like Kate was viewing the entire day through our eyes, bringing our exact vision to life in real time. Everything we imagined our wedding would be was that and so much more. If you want a flawless, high-end execution, Kate is unmatched.

When we got engaged, all my husband and I knew was that we wanted to have a wedding that felt like "us," but we had no idea how to put that into words, let alone make the vision come to life. We knew we could plan a wedding on our own if we really had to, but that we'd be blind to the things that would make it a "wow" wedding and to be honest, we really wanted to enjoy being engaged and not have to worry about planning every single detail.
We had several consultation calls with different planners, but Kaitlin stood out from the get-go as someone who is experienced, professional, and most importantly, has a skill for really listening and understanding what was important to us.
Kaitlin took small pieces of what we said was important to us and made our vision come to life. We wanted a wedding that felt like an experience for our guests. We wanted them to feel relaxed, have great food and drinks, and be delighted by small surprises at every turn. Kaitlin had incredible ideas for unique vendors to bring in, from a live guitarist who fit our vibe perfectly to our own coffee truck service. She also knew how to respectfully encourage us to consider color choices or other decor that she knew would make the event feel more timeless and well-rounded.
The entire weekend of our wedding, Kaitlin and our vendors were perfectly in sync. I never felt stressed over details or timing at any given point. They were attentive, caring, and incredible detail-oriented.
My husband and I had the best year planning our wedding with Kaitlin. We're so grateful that our vision came to life and we'll be forever reminiscing on our perfect day.

I wish I could give Kaitlin more than 5 stars. She is absolutely phenomenal. From the very beginning she kept us organized, on track, and helped guide us through the entire planning process. She has so much valuable experience and was able to provide helpful advice and feedback when we needed it.
Kaitlin brought our vision to life better than I could have possibly imagined! Our guests were commenting all evening what a great day it was and she was the driver that really helped bring the whole day together. Booking Kaitlin was one of the best investments we made while planning our wedding. -

As a couple who was very wary to enter into the wedding planning process due to the immense amount of time and energy it can take… Kaitlin put all of our concerns at ease. After our first conversation we truly felt like Kailtin took the time to understand exactly what we were looking for, and was able to guide us in decision making throughout the process so that the final event aligned with everything we could have wanted. Kaitlin is the BEST wedding planner!
Of all the decisions we made for our wedding, the absolute best decision we made was switching from our original wedding planner to Kaitlin. After several months of working with our original planner, it wasn’t going well and I kept seeing Kaitlin’s posts on Instagram and wished we were working with her. I reached out to her and she was immediately understanding, compassionate and wonderful. We decided to make the switch and never looked back. I now cannot imagine planning our wedding without Kaitlin. She immediately understood the vision we had for our wedding and constantly reassured us that everything would be beautiful. Kaitlin was so helpful with every decision we made. She made suggestions but never pushed. She was great at giving opinions when we asked or when she felt like we were not seeing something important.
Our wedding weekend was so beautifully executed and it was entirely due to Kaitlin and her amazing team. So many of our guests told us that they have never been to such a well-organized and gorgeous wedding. It was truly spectacular. Every time I turned around, Kaitlin or one of her amazing team members was there to ask if I needed anything or to let me know what was going to happen next. If anything went wrong, I never would have known it because Kaitlin handled everything and it all went so smoothly. Kaitlin and her team did a wonderful job with our families, who played a big role in the wedding. Everyone knew where to be when and Kaitlin managed everyone with empathy. She made sure all the pieces came together and that everything stayed well within budget. Kaitlin also worked incredibly well with our venue and our other vendors.
Kaitlin helped us execute a wedding that was beyond our wildest dreams. I wish I had tons of friends getting married in California because I would tell every one of them that they need to hire Kaitlin! She’s simply the best. -

We loved Kaitlin from the very beginning stages of our search to find the wedding planner we wanted to work with. As soon as we hopped on a call with her, we quickly learned that Kaitlin is energetic, full of enthusiasm, knowledgeable, resourceful, and punctual in the work that she does. And we wanted to lock down Kaitlin as our planner asap!
I actually thought that we could do our wedding without much help from a wedding planner, but I was totally wrong. The amount of experience that she brings in for wedding planning and the local knowledge she has of the Carmel area was something I would not have been able to fill myself. She saved us so many hours of searches to find the right vendors. Kaitlin also managed some of the relationships directly with the vendors, so we weren’t swamped with the project management side of the wedding planning because Kaitlin had our backs all of the time.
We had check-in calls with Kaitlin to plan our wedding, which I looked forward to because we always got so much done! We had many changing elements as we approached the wedding day, and Kaitlin accommodated us in the most gracious and helpful way possible.
We also loved having her team, who was there for additional help on the day. They were all amazing. We couldn’t have done our wedding without Kaitlin, and we highly recommend her! -

I had the pleasure of planning my wedding with Kaitlin from Aug. 2021 - Oct. 2022. Right off the bat Kaitlin demonstrated her deep knowledge of the central coast wedding industry (venues, vendors, etc), but beyond that she took the time to get to know my husband and I. She was able to hone in on our preferences (design, fashion, taste in music, relationship style) and produce a wedding that felt authentic to us as a couple. To me, that was priceless! Kaitlin planned my husband and I's October 2022 wedding weekend in Carmel, CA. We live in Chicago and would be planning from afar so we were looking for a wedding planner local to the Carmel area who knew all the vendors and venues.
From the start Kaitlin was professional and made us feel special. You can tell she loves her job and her clients. She was the perfect fit for us and did a phenomenal job. From start to finish we had zero complaints working with her. (YES... ZERO!)
She made us feel like her only clients and handled every issue, question, email/phone call as a true professional. Nothing was too small or to big- every detail was thought of. My husband and I marveled throughout the planning process at her ability to be punctual, proactive, prompt all while being calm, organized and kind. She constantly volunteered valuable information about the area, vendors and venues. When things didn't go according to plan or there were vendor issues she worked with us until a solution was found.
We would have never been able to plan our spectacular weekend without her. She made our welcome party, wedding and post wedding brunch simply stunning events and it was a weekend we will never ever forget. It was bittersweet as our planning process came to an end as we knew wouldn't be talking with her every week.

Amazing experience with Pocketful of Plans
My husband & I worked with Kaitlin for our November 2021 wedding at Gardener Ranch in Carmel Valley. We met with three wedding planners and after one call with Kaitlin, we knew she was it! Kaitlin is organized, thoughtful, professional and has an excellent design eye. She is also an amazing listener and really gets to know the couples she works with. Kaitlin took our wish list and made it all happen in the best way. When we walked into our wedding it truly felt like a dream to see what she had created. We could have never executed our design vision without Kaitlin putting it all together!
Our wedding had its share of challenges- we elected to get married during Covid (2021) and had so much uncertainty regarding our event. We didn’t know if we would be able to have 25, 50 or 120 guests up until two months before our big day. The added stress would have been too much to handle if we didn’t have Kaitlin to guide us through. She thought of everything- different layouts depending on guest counts, different ceremony locations and helped us implement a plan for our event that made our guests feel safe. Kaitlin also helped us stretch our budget in the best way. There was never any pressure to use a specific vendor, we could have candid calls about budget and she would help us go over the pro’s and con’s of contracts before we committed. Kaitlin also focused on the guest experience and helped us make decisions that were for the best of the event. We have gotten so many questions after our wedding asking who our wedding planner was because our guests were so impressed.
When I say Kaitlin made our wedding dreams come true, it is an understatement. The weekend of our wedding Kaitlin turns into more of a superhero than she already is and creates absolute magic. We didn’t have to worry about a single thing, Kaitlin had it covered. One of the most special moments of our wedding was when Kaitlin helped me put on my veil right before walking down the aisle. It truly felt like a life long friend was wishing me well before I took this big step in my life and I wouldn’t have it any other way. Kaitlin made everyone feel so comfortable, relaxed and included in the process. The Pocketful of Plans team was professional, efficient and put together every last detail perfectly. Our reception tent was stunning and every single flower, napkin, name card was laid out immaculately. I cried saying goodbye to Kaitlin the Sunday after our wedding because she had become such a support and close person in our life over the past year.
Looking back, I can firmly say hiring Kaitlin for our wedding was the best decision we made. We could have gotten married anywhere and she would have made it perfect. If you want a wedding experience where you can show up to your wedding and enjoy the entire event, your guests & family are taken care of and your design vision is brought to life, look no further than Kaitlin. Looking back we will always have the best memories of working with Pocketful of Plans and only wish we could do it all over again!

If we could give Kaitlin and Pocketful of Plans 10 stars we would. Prior to working with a wedding planner, we weren't totally sure what to expect. We interviewed a few people, but when we met Kaitlin we knew we'd found the one. After our first call with Kaitlin, we knew we'd be in good hands -- but little did we know just how capable, professional, and empathetic those hands would be. We know weddings weren't easy to plan in 2020/21, and we had a particularly tricky venue (oh, and we were planning our California wedding from our home-base in London), but Kaitlin guided us through the entire process with unwavering calmness and skill. She's quick to respond, can roll with the punches and the millions of changes that happen in the planning process, and she became a trusted resource and close confidant. She's tapped into a great network of vendors in the Northern California area, and she worked skillfully with everyone.
If you are on the fence about hiring a planner, take the plunge. It will be the best decision you make in organizing your wedding - and when you reflect back after hiring Kaitlin for your wedding you'll wonder how you could have done it without her. We know that's exactly how we feel!

Best Decision Ever
WINNER OF THE “HELPING COUPLES SURVIVE 2020” AWARD!! But really: Kaitlin is more than just a planner. She’s magic personified. She’s the positive and hardworking force you need when your venue cancels your wedding 2 months before the date and makes you start over in a new city with new vendors. She’s the support and encouragement you need when you’re feeling overwhelmed and stressed at the long list of “to dos” still waiting. She’s the person you will rely on most, and one you can count on to handle that pressure and help relieve it. Kaitlin takes as much off your plate as she can, making sure to check in and provide updates as she works. She has so many good ideas and a real understanding of what it takes to make visions come to life. There were a lot of moments when I thought “there’s no way this can be done,” and then I mentioned an idea or request to Kaitlin and she made it happen. Kaitlin is who you need — bottom line. She’s also who you WANT for your event. When we first looked for a planner, I had a different (and incorrect) impression of what they would help with and be like; I thought it would be someone I’d hear from a handful of times, who would send me a list of vendors and then disappear. That’s not Kaitlin. Kaitlin not only knew amazing vendors off the bat for what we wanted, but explained why she recommended each one, stayed in touch with them about contracts and changes to our wedding plans, and connected with them before and during the wedding so that we didn’t have to worry about absolutely anything. Kaitlin was on numerous calls with our venue to make sure we asked the right questions and made the day-of coordination easier. Kaitlin also provided a constant stream of inspiration and ideas for our wedding, reminded us to order items we kept forgetting about, answered our many questions, and much, much more. There was nothing she wasn’t willing to do, and no obstacle she didn’t help us overcome. Kaitlin is diligent, resourceful, creative, responsive, easy to talk to, and fun (not to mention funny)! Which believe it or not, is a huge plus. When you’re constantly in touch with someone about everything from the biggest to the smallest details of your wedding (and in our case, also riding the roller coaster that was wedding planning in 2020), it’s great to have someone so positive and thoughtful in your corner who just so happens to be an excellent and organized planner. Our wedding was the best day of our lives, and that is thanks to Kaitlin. Kaitlin made it easy for us to truly enjoy our day, without worrying about how the chairs would be set up or where the favors would hang or the timing of anything. She was on site from the day before our wedding until the day after, overseeing vendors and making sure every detail of our event was perfect. And it was! Kaitlin did a beautiful job from start to finish. Seeing the amount of work she put in for us at the very end (and not just along the way) confirmed that she has a strong work ethic and a true desire to help her couples realize their dreams. My husband and I will be eternally grateful to her for everything she did, and we would hire Kaitlin again and again if given the chance. The only thing better than having Kaitlin as your wedding planner is having her as your friend, and thankfully for us, it has become both through this experience. Kaitlin: thank you, from the bottom of our hearts, for your incredible and Herculean efforts that made our wedding as beautiful, detailed, easy, and fun as it was. An answer to an east-coast, military wife, COVID bride's prayers
My (now) Husband and I were very intentional about finding a wedding coordinator for our summer 2020 wedding. Although from California, we both lived in New York while wedding planning and it was important to us to have a planner that knew the Carmel area, that could be our eyes and ears while we were away. We began working with Kaitlin in fall of 2019 and were immensely enjoying our calls, in-person meetings, and overall experience with Kaitlin. As soon as COVID entered the equation, we found ourselves in a very difficult position and under extreme parameters due to my husband’s military career.
2020 quickly took an unforeseen turn for weddings, however Kaitlin was our bright light through it all. We made the difficult decision to forego our original wedding plan, and reschedule a micro wedding in my family’s backyard in less than two weeks, due to the military. We cannot praise Kaitlin enough for her patience, sound guidance and genuine care for us as a couple. At times, she became a therapist as we waded through the uncharted COVID wedding scene, ensuring to listen to what was important to us as a couple and honor that - no pressure involved. Although our initial plans looked different, our day exceeded our expectations and Kaitlin played a massive role in that. She was a liason between us & our vendors, helped us understand our contracts, and ultimately repurposed our initial plans (and contracts) to work under our new parameters. Her contacts and vendor referrals were impeccable - in service and quality. Kaitlin answered every panicked phone call with grace and wisdom. She helped us cultivate BEAUTY in a situation that felt rather limiting initially.
We would not have changed a thing about our day, and that includes having Kaitlin as our wedding coordinator. THANK YOU Kaitlin & the POP team for not just helping plan one, but TWO, weddings for us. We will always have a special place in our hearts for you! -

Amazing Wedding Coordinator
Wow were we lucky to have Kaitlin as our wedding coordinator. She is amazing to work with. She was always there for me to answer any of my questions or calm any worries we had. She made the whole weekend event run so smoothly. There wasn't anything we needed that she didn't have or was already on top of before we even asked. She worked so well behind the scenes that if anything was off or going wrong we certainly would not have known it. We highly recommend Kaitlin. There is no doubt in my mind that without her the weekend would not have been the same. I was so much more relaxed knowing Kaitlin and her Pocket Full of Plans staff had everything under control. My husband and I got married in Carmel, CA in July 2019. We hired Kaitlin early in the wedding planning process and it is the best decision we made! Kaitlin is not only the kindest person (and someone I now consider a friend) but her work ethic, organizational skills, eye for detail and recommendations throughout the process were why our destination wedding was such a success. Kaitlin is positive, patient and really helps make your dreams come true (while always keeping you on track!) Given we were planning from Canada, it was crucial to find someone we could put a lot of trust in to help plan our big day. Because of Kaitlin, our wedding day exceeded any expectations we ever had. We were able to relax and enjoy every second of it while Kaitlin and team worked behind the scenes to coordinate vendors and put out any fires that came up. She even made a point to bring us donuts / late night tacos when we were too busy socializing and entertaining to get there ourselves. :) I can't say enough great things about Kaitlin and would HIGHLY recommend her. From the planning phase to the event itself – Kaitlin is simply the best.

Our best hire!
A key reason why our daughter’s wedding on June 29, 2019 turned out so wonderful is because of Kaitlin Ford, Pocketful of Plans. She is professional, patient, and positive. Her calm and confident demeanor from start to finish was what we needed. She takes the time to get to know your style and vision and then executes it on your wedding day. She is very accessible through emails, texts and phone calls. Always felt we were the only wedding she was working on. Kaitlin has great connections to local vendors and all her recommendations were spot on, especially with the tent and rentals. Outdoor weddings comes with many what ifs and Kaitlin handled obstacles like a pro. Our guests were in awe of everything. She captured our vision to a T and made our daughter’s wedding truly magical!

We interviewed a lot of wedding planners and we are so glad we picked Kaitlin. She did a fantastic job of making our vision a reality. She left us with nothing to worry about on the day of our wedding and made sure that every detail was checked off of the list. Kaitlin was also instrumental with assisting us in ironing out some issues we had with one of our vendors which caused a lot of stress for us. We love that she advocates for her couples and cares about providing the best experience possible. We don't know what we would have done without her. -

Made the day flawless!
Kaitlin is awesome! She was our coordinator for our 11/10 wedding and the day went by just as I had hoped. She was there for those whole process, and went above and beyond to make our day come together perfectly. With my personality I need to get things done right away and she knew exactly how to make sure that my worries were taken care of. She made the day so flawless and her team even put together my dessert station - which was beautiful!

She was our day of coordinator at our wedding in Monterey on 9/15/18 and seriously could not have been an unforgettable day WITHOUT ALL OF HER HELP. She already had prior knowledge of our venue, so that was a plus! She helped me tremendously when it came to keeping it together with all the planning. She has a lot of connections and suggestions on things that I never would have thought of and I am very grateful that she was always there to help us. If you are looking for a one-of-a-kind coordinator, don't look any further because KAITLIN FORD is the ONE! My husband and I knew it from the start when we had our first conversation on the phone with her and she answered all of our questions. She made our wedding day special and put personal touches (we definitely could not forget the added touches of flowers to our wedding cake, THANK YOU!) From start to finish she was there for me, she has infinite patience and we really could not have done it without her! I don’t know how she does it but she makes you feel like you are her only client! I received so many compliments from the guests at our wedding on how smooth the day went and how well organized it was. Also, the day of the wedding she is just so amazing, made me feel taken care of the whole day and kept me sooo calm! Hiring this company is very very worth it for your special day!

Kaitlin took the time to really understand what vision we had for the day and executed on it tremendously. Kaitlin’s detailed timeline of our entire wedding weekend ensured vendors and the wedding party were in the right place at the right time. I had a lot of DIY decor that she set-up and mapped out locations for prior to the event. She set up the table settings for 206 guests exactly as I had pictured for our garden party.
I also wanted to ensure my parents, family, and friends enjoyed the day and were not bogged down with tasks and with Pocketful of Plans on site there were no worries or question that everything would get done.
So so happy with our decision to use Pocketful of Plans and looking for our next opportunity to use her team again. -

With the assistance of Kaitlint (POP), I felt so at ease and organized. Our wedding was in Holman Ranch in Carmel Valley- she was extremely nice, thorough, honest, and clearly had our best interest. Her creative thinking also helped us save quite a bit of money and was practical in what we should/should not spend our money on. She is worth every cent and more! So thankful for her! -

Jessica Sent on 09/23/2016Kaitlin was an amazing day of coordinator! We hired her after realizing that my husband and I needed someone to take control on our wedding day. She came on board 2 months before and guided us through everything. Even though our venue coordinator quit a couple weeks before our wedding day, it didn't phase us because we knew we had Kaitlin. She made the day go by smoothly without any problems. We were on time for everything and our guests had a blast! -

We are out of towners who always dreamed of having a beach wedding. After interviewing three different planners, we hired Kaitlin because of her great online reviews, her personal hands on planning, and her director type skills. Then COVID hit, which for us, meant we would not be able to see any of the progression of what our wedding would look like until the actual day of the wedding because of the pandemic and its restrictions. We poured a lot of our trust into Kaitlin and she did not disappoint. She regularly reached out to us to checkin on how we were feeling about the wedding, and you can tell she genuinely cares about each couple she works with. The day of the wedding was when we realized she truly was the best hire! Many couples may not realize it at the beginning, but there is sooooo much to take care of and direct the day of that you simply cannot handle every little detail on your own. We were able to enjoy and live in the moment because she was there handling everything. I can honestly say our wedding would have never been the same without Kaitlin. -

Jaimie Sent on 07/31/2016My initial impression of Pocketful of Plans was great, but after speaking with my guests, my opinions changed slightly. The owner, Kaitlin, was great leading up to my wedding. She helped me finalize details, confirm vendors, and manage my venue. However, on the day of, she got overwhelmed. Several guests said she was angry and agitated while setting up and expected my family to help her. I hired a coordinator to manage the day and make sure everything was taken care of so my guests didn’t have to. Kaitlin told us she would let us know if she needed help and she didn’t say a word. Several of my decorations didn't get set up the way I wanted or at all. It was very windy, so some things just didn’t work out, but my uncle started setting up directions randomly because he didn’t know where to put them and Kaitlin just wasn’t going to do it. That, to me, is unacceptable. To make it worse, Kaitlin started breaking down early in the evening, which made our guests think the event was ending and more than half of them felt pushed out and left. We were not able to have a send off because so many people felt it was time to leave. Towards the end of the night, Kaitlin demanded that my sister go around and pick up trash, even though she was watching my nephew and had a migraine. Kaitlin had said she would pack everything in her van and bring it to us the next day, but my sister ended up packing up her own truck by herself. Because of this, there were a few items/decorations that got lost and we have still not recovered, including those that did not belong to us and we had to pay the owner for. Overall, after speaking with family and friends, I was very disappointed to hear how my family was treated behind my back and how poorly the event was managed. If you have a ton of DIY details at your wedding, I would recommend hiring a different vendor. If you just need someone to coordinate the basics without a lot of extra effort, than I think Kaitlin could be great.
