We had the absolute pleasure of working with Rachel for our daughter’s wedding, and we cannot say enough about the incredible job she did from day one through the big day itself. From the moment we started planning, she was organized, professional, and truly listened to our daughter's vision. Her attention to detail, calm demeanor, and creative touches made the entire planning process enjoyable and stress-free.
On the wedding day, everything ran seamlessly thanks to her behind-the-scenes coordination. Every vendor was perfectly on time, every detail beautifully executed, and we were able to fully enjoy the day knowing everything was in expert hands. Our friends and family are still raving about how flawless everything was! Rachel operates on a different level....she is the ultimate professional in her craft!

Rachel with plan it perfect is incredible at what she does and I cannot recommend her more highly. We opted for the week of planning package and as our wedding date approached, Rachel very smoothly picked up and reviewed all of the contracts we had arranged, recommended last minute vendors, and ironed out every possible wrinkle in the day. She coordinated all of our vendors the day of and arranged the setting of our Sofreh Aghd exactly according my in-laws instructions so that they could enjoy the day. At every step she anticipated and completed to do items before we even thought of them. You will not regret hiring her for your event! -

Hugely supportive for Day of coordination
I hired Rachel and Jess for day of coordination. They were so helpful in making the day go smoothly. They were so helpful in everything from having lash glue on hand, picking up the wedding cake, assembling and dissambelling 11 unique centerpieces, giving practical advice on the best way to pee in my wedding dress, and making sure that my partner and I stayed hydrated all night. Rachel and Jess were so kind and excited for us, and also had the efficient "get it done" attitude you need from a coordinator. -

Rachel, Jess, Kim, and the Plan It Perfect team made our wedding the BEST DAY EVER! If you're looking for a wedding planning team that can handle both the expected and unexpected parts of your wedding day (like navigating a school bus through Downtown Baltimore road closures due to a bike race!) with effective professionalism, this is the best team around. We loved that they provided honest feedback and practical suggestions when we weren't sure what to do; and how they remembered the small stuff you mention off-the-cuff and find a way to make it special (like cutting our cake with a sword!). Whether you choose them for day-of coordinating, or have them run your wedding experience start-to-finish, we cannot recommend Plan It Perfect enough. Worth every penny! -

We utilized PlanItPerfect's services for coordinating activities on the day of our wedding. Rachel and team had to make last minute adjustments due to an illness and still the wedding went off without a hitch. Thank Goodness for Rachel!
If you are in the Baltimore area and looking for a wedding planner. Hire Rachel! I can honestly say we probably wouldn’t have made to down the aisle without her. We had our dream venue that we had everything planned for cancel on us 4 months before our big day. Rachel was there to help us figure out how to cancel or delay contracts, give recommendations for new venues that fit our needs, and just generally being the most supportive human. Having her there to help us move and coordinate everything new and old and still be able to be married on our original date(!) saved us so much stress and anxiety. Having Rachel with us on the day and thinking about all of the little details so we could think about each other was the best, could not recommend more! -

Rachel is the best wedding coordinator!
I could not recommend Rachel more as a wedding coordinator! She was on top of everything when it came to all aspects of our wedding, and the nitty gritty details that I would never think of. She also communicated with all of our wedding vendors and made sure that our requests were passed along to our vendors in a timely manner. On our wedding day, everything went smoothly thanks to her!! Rachel is also extremely friendly, kind-hearted, and very fun and enjoyable to be around! -

Damn Good Wedding Coordination
I don’t know if there’s a negative thing I can say about hiring Plan it Perfect for my wedding coordination - I wish I could have Rachel and her team with me at all times to field everything disorganized that comes my way.
My now wife and I got engaged 3.5 months ago, and went all-in on planning our wedding for last weekend. With 3 months till d-day, we raced to find a wedding coordinator to ensure our speedy wedding would go off without a hitch. Thank goodness we came across some recommendations for Plan it Perfect. And thank goodness they had availability for our day. Rachel knew it was a bit of a quick and DIY wedding, but she jumped on the challenge - there to steer us in all our indecisions. I had most of the major planning done, but needed plenty of guidance with the details as the day drew near. She dealt with wedding party antics, awkward family dynamics, last minute decisions, and everything else we threw at her with grace. Her two assistants, Kim and Jess, stepped in to ensure the flow of the evening, while not making sure we didn’t feel rushed or out of control.
When I say that Rachel, Kim and Jess saved my wedding - it is no exaggeration. My wife and I’s caterer, little did we know, was in sky high over its head. The ladies with Plan it Perfect didn’t let us see them sweat, they kept themselves calm and at the helm... While they dealt with the caterer showing up an hour late, missing half their poorly trained staff, and completely unable to set a table or bar. Myself and my bride were none the wiser the entire time. It wasn’t until service started that I saw how much of a shitshow the catering company really was. Yet, Rachel intervened and her team picked up the slack, jumping in to clear tables and coach waiters. It’s because of them I was able to dance the night away, unbothered by the terribly late food and disaster of a bar, amongst other things too frustrating to mention.
If you are thinking about whether or not you should hire a wedding coordinator, hire one. And if you’re going to hire one, hire Rachel Hoffberger. She cares. Her team cares. And they’re damn good at their job. -

Plan It Perfect is simply amazing!
As soon as I got engaged, I knew I wanted to hire Plan It Perfect to coordinate my wedding. I’ve known Rachel for several years as she’s been a mentor to me as I transitioned careers into the event industry. Having worked alongside Rachel on multiple weddings, I knew how hard she works to make her clients’ special day a success. She’s been in the industry for years and has extensive knowledge on how to successfully plan and coordinate events. Even when our officiant wasn't able to attend the rehearsal last minute, Rachel stepped in with no problem. With Rachel and her assistant, Anastasia in charge we knew we were in good hands! Our day was more than we could dream of and Plan It Perfect played an integral part in that. -

From the minute we met her until after our son's wedding, Rachel was always available to us, in person, by email and phone. She keeps meticulous notes of everything and sent them on to us. She is very detail oriented. She dealt with all of our vendors extremely effectively. Any recommendations we needed, she found for us, and all of the vendors she found for us were also great. She answered every possible question. When the wedding got really close and not everything we had ordered had arrived, she filled in that gap too. She and her company are just fabulous! I just can't give her enough praise. -

Thank goodness we went with Plan It Perfect!
We had a unique experience in that both my sister and I got married within 6 weeks of each other. We had not originally planned to have a coordinator but with 2 big( over 200) weddings we realized we needed that assistance. I am glad we made that decision as we would have been lost without Rachel and Plan It Perfect. She did an excellent job with both weddings and made the stress melt away! She was always responsive on email, even with silly questions, and made the whole process simple and fun! -

Two GREAT Weddings with Rachel of Plan It Perfect
Rachel at Plan it Perfect was The Wedding Day Coordination Package planner for the weddings of my two daughters. These weddings were only six weeks apart!
Rachel was skilled and professional with deep knowledge of our Baltimore venues and venders. She also had very good judgement on how to arrange and time the ceremonies and receptions.
Not only that, but bringing a Rachel into the process, who got excited with us about all the details, was lots of fun.
I felt that I was able to relax and enjoy these special days with my family and friends in a way that I would not have been able to if I did not have Rachel in our corner!

Great Wedding!
As father of the bride, my only concern was my daughter's happiness on the big day. Thank goodness Rachel and Katie were there. They were pleasant, calm and a relaxing influence on the entire wedding party. At the same time, in complete command of the situation. Before the wedding, Rachel took control of all the details to make sure there would be no problems with any part of ceremony, reception, transportation, flowers, bakery, etc... Very happy. We would definitely recommend. -

Rachel is everything
We could never have gotten through the last few weeks without Rachel. She was so helpful. She came up with ideas that we would have never thought of, a hanger for the dress, lunch for getting ready etc. I don't want to get to far into details without telling you the most important part. We forgot our rings and didn't realize it till about one hour prior to photos. Rachel literally got in her car and drove to my house and found where I hid the rings, in my closet in a bag! She even facetimed with me to assure me she was on her way to get them. We also had a groomsmen not show up until we were about to walk down the aisle and she came up with a back up plan and was able to calm my husband down. I can not tell you how amazing she was. She is available via text, email and facetime, I literally could not have asked for more. Hire Rachel, she is worth everything! -

Put simply, Rachel is superwoman. My parents have repeatedly said that they believe she was by far their best investment for our wedding. This Type-A, mildly neurotic bride managed to keep cool as a cucumber our entire wedding weekend, and such a big part of why I was able to sit back and truly, truly enjoy the beginning of my marriage was because Rachel handled the details and the logistics of the day—and leading up to the day—impeccably. A five-star review just doesn’t do her justice.
The venue where my husband and I got married contractually required us to hire a “month-of” wedding coordinator—and looking back, we are so very grateful for that requirement. But at the time, the idea of hiring a planner made me pretty apprehensive—we were very excited to plan a wedding that was organically and authentically “us,” and we were concerned that a planner would turn our day into just another run-of-the-mill wedding. Unfortunately, after calls with a few different coordinators, my concerns were validated—too much talking about what they wanted to do, and not enough listening to what we wanted. Until we met Rachel! Rachel was the first person we felt genuinely wanted to help us make our wedding everything we wanted it to be, rather than mold our wedding into something else. And man, did she help our vision come to life!
Rachel truly went above and beyond, joining us on our tasting, accommodating an additional in-person meeting closer to our wedding; she put me at ease, and helped us problem solve when we experienced some hiccups (needing a new officiant 7 weeks before the wedding, needing new napkins 7 days before the wedding), she was my sounding board and wedding-guru for questions such like... what’s the difference between a place card and an escort card?... how do you tuck a 132” linen on a tiny sweetheart table? And she handled much bigger items, like logistical conversations with our vendors leading... {ran out of space, refer to other forums for full review} -

The Plan it Perfect team was the glue that held our wedding together and enabled our vision to become a reality - with limited stress. During planning time, we thought we could "do it". A friend of mine wed his daughter 3 months prior to ours and stated "the best value of any wedding dollar he spent was with Rachel/Plan it Perfect". The name "Plan it Perfect" truly matches their approach and service ... and the results were awesome. As an example of a little detail that could have ended up in a stressful situation: The Bridal/Head Table was not set up according to the Final Plan. Rachel and team combed through all of the details, recognized it and sprung into action. Fixed it and no one - including the Bride & MoB - knew the issue was ever there. Another "value" example: Moments prior to entering the church, my daughter and I are having a spontaneous emotional moment. And there was Rachel - with her "tool kit" - filled with mouth wash spray, tissues and words of wisdom - "when it's about to hit, say your social security number...it'll take your mind off of it". It's like she knows what you are about to go through and diverts issues from happening or ensures all goes smoothly. Name pronunciations with the DJ, Limo coordination, etc. etc. etc. WELL WORTH THE VALUE and when you do business with such likable people, it makes it even better. By far the best dollars spent - Plan it Perfect. Final thought - an analogy: The coordination of a wedding is like a referee in a sporting event. If the ref does a great job, you don't even notice he/she are there...and all remember the game/players - what fans want. If he/she blows the call, all remember the Ref and the Bad call...and not the game/players. Same can be said about your wedding experience. The coordination of your wedding (organization of ALL the stuff) is like the ref. Hire Plan it Perfect - Experienced, Professional and personable - who will ensure a well coordinated wedding experience! -

We hired Rachel as our "day of" coordinator but ended up working with her on so much more. She was one of the best investments we made for our wedding. From my first meeting with her, Rachel assured me that my concerns about the day were normal and she was more than willing to work with me to customize specific services. She was prompt in her correspondence and also helpful in making recommendations for other vendors, many of which provided discounts because of the referral. When we had problems with our original venue, Rachel was not only a great sounding board, but stepped in to help me try and work out the issues we were having. Ultimately, we changed venues four months before the wedding, and Rachel not only helped us secure a new venue, but worked with us on linens and a menu. Her professionalism and patience were amazing and carried through to the wedding. She took care of every detail, including a 6:30am breakfast delivery to the bridal party. I didn't even find out until later that the best man lost one of the wedding bands shortly before the ceremony! If you are even considering hiring someone to help plan your wedding or provide services for the day, I would highly recommend Plan it Perfect. Pick Rachel of Plan it Perfect. Just do it. My wedding was a mixed affair: my husband is African-America and I am Iranian-American. Neither my husband nor I are romantic in the traditional sense. I didn't grow up dreaming and planning my wedding-- it all just seemed like a huge hassle to me. I don't even enjoy GOING to weddings! So we put it off as long as we could (10+ years). But we knew how much a big, huge, wedding party meant to our parents and extended family and part of the reason we work as a couple (besides neither of us being terribly romantic) is that we prioritize our families' happiness equal to our own. And a huge wedding it would be-- we knew we were looking at a 200-300 person wedding between our families and friends (ended up being ~260). So all of this is to say that Rachel found herself planning a wedding for a couple who lived in Richmond, needed the wedding to happen in Baltimore, had a horrible ever-shifting schedule (I was finishing medical school at the time), didn't enjoy most of what other people like about wedding planning (although who doesn't enjoy cake tasting?), and needed to make a secular, family oriented blend of Iranian and African American wedding culture, music, decor, activities. And man, Rachel delivered. The "perfect" in the company name is no joke. Our wedding was really fun! The food, the drinks, the decor, the DANCING until 1 min prior to closing time.... even now I can't believe how smoothly it all went down. It's not just how well the big night went-- Rachel saved us so much money while delivering vendors that matched our values and style: intelligent, artistic, community aware, willing to take a risk and do something interesting. The vendors love working with her and that is a big part of why she does the excellent job she does. So in summary: have Rachel plan your wedding or any other large party. She will save you time, effort, energy, costs and work with you to deliver on what YOU find important. -

Rachel is WONDERFUL!! It's hard to match my organizational skills and love of to-do lists. Yet, Rachel surpasses me down to every Excel spreadsheet! She knew her audience in me and coordinated with me in a way that eased my stress levels a TON! No detail was overlooked and Rachel pulled off an incredible, elegant wedding with a nod to sports that many thought was impossible. She had amazing ideas and kept the day classy, but very fun! She is wonderful to work with and incredibly accommodating with meeting times. Most people say the week before their wedding is insanely busy. Because of Rachel, I could spend that week enjoying and visiting with family with not a worry in the world. I highly recommend her to anyone looking for help to navigate through the insanity that is planning a wedding (or any big event!)!! -

Rachel made our dream wedding come to life and we couldn't have done it without her! I worked with Rachel to plan my wedding in Baltimore while I was living in the Midwest, and she made it easy for me, my parents, and my now husband. She is highly responsive, thoughtful, and her vendor suggestions were AMAZING. She is knowledgeable about everything from traditions to trends, and we would have been lost without her ideas and attention to detail. She listened to exactly what I wanted and made it happen, and gave us great advice. I know that she worked extremely hard for us during the planning process and on the day of the wedding, but she made it seem easy and it really allowed us to relax and enjoy the weekend. I was nervous and stressed, but she really did help make it the best day of my life. My husband was also nervous, but two days later he was talking about when we could throw a big party again!! Working with Rachel was a dream! I had some apprehensions about planning a wedding from afar (live in FL, wedding in MD), but Rachel made sure to be available at times when I was physically in MD as well as via phone/email when things came up throughout the planning process. Her calm and professional manner on day-of really helped keep me relaxed, even with the last minute changes due to weather. Truly, it was the best day and more amazing than I ever could have imagined and her attention to all the details did not go unnoticed. -

Rachel was a godsend for us!! My daughter and her then fiance decided in early November 2015 to get married on December 27, 2015. To say that we had little time to plan is an understatement, especially given that it was a first wedding for our family and no experience in budgeting, chosing vendors, developing a menu, etc. We also had a tight budget that got adjusted downward half way thru the planning process.
But Rachel, her team and her contacts in the industry really came through for us. We had identified the venue - the Volmer Center at Cylburn Arboretum. Laurie, the manager there, recommended Rachel to us. We made an appointment for the next day and hired her on the spot. She made us feel so comfortable and did not regard our budget or timeline as an obstacle. She went to work right away - built an itemized budget, developed a timeline for the planning, identified a short list of caterers and a DJ, helped us think thru invitations and decorations. She made the appointments with vendors who felt they could work within our budget and who were available for the date. She was supported us every step of the way. When the budget changed, she worked with the caterers to reduce their costs.
In the end, we had 90 guests in a magical setting, all of whom had a wonderful time thanks largely to her coordination and experience. We had a fabulous DJ (Bill Marsh of Carylsye Entertainment) who got everyone out on the floor dancing, a delicious dinner (thanks to Paul, Keara, Daniel and the staff at The Pantry Catering) and great wine and drinks (Wells LIquors).
Rachel is extremely organized, yet very flexible and able to handle anything that comes her way. She does not get flustered or anxious - which is very helpful for the bridal couple and family. She great communicator, and is warm, friendly and joy to work with. We give her our highest recommendation. -

If you are looking for a Day-of-Coordinator, & you do not go with Cate and Rachel of Plan It Perfect, you are making a big mistake. We got married at the AVAM in August 2015. We were concerned we'd have no one to tell us how to work out the day (especially since we were getting married by our friend who had just gotten ordained, so we really had no clue what we were doing), so we went on the hunt for a Day-of person. From our first meeting with Cate and Rachel, we felt at ease with their knowledge & expertise for putting on a wedding. I am the type of person who wants to control everything, & I really did not want to do that on my wedding day, so being able to trust them with running the show was a big deal; they did not disappoint. Although we had only purchased "day-of" services, they were helpful throughout the entire 8ish months of planning with any random questions I had. They were VERY responsive to calls & emails. Day-of really means Month-of with them, as they handled the walk-thru of the AVAM, our rehearsal and the coordination of the day and all of our vendors & services. On our walk-thru, I knew we were set because they asked questions for things I would never have thought of, & made sure every piece of our day was planned (which is what I wanted!). Cate was our actual Day-of person because Rachel's sister was getting married the same day, & she did an amazing job managing everything, along with her helper Sammy. She made sure every little detail we wanted worked out & that we did things at specific times & did not forget anything we wanted. She was also able to manage (& tolerate) our large, ridiculously inappropriate, & crazy wedding party. She was the perfect mix of commanding and fun, if that makes sense - haha! They really did make our day perfect & put us at ease with the planning of the actual day. They were the best money I've ever spent as they made my stress level about the wedding go down significantly. THANK YOU!!! <3 THE BABY POWDER!!! -

The simplest way of putting this is that I give Rachel my highest recommendation. She is down to earth, kind, on your side, organized, professional, and always classy. My beautiful outdoor garden paradise wedding, so long planned and dreamed of, ended up falling on big old rainy stormy day in Baltimore! And yet -- Rachel just held it all together and made my Plan B even better then my Plan A. It was an awesome event in a situation that really could have been a disaster. I am so grateful to her for being such a great partner. Four other random notes -- (1) I planned on a short time line 6 months, and she was so supportive and made it happen. other people I talked to were critical and made me feel like a freak. (2) I planned from New York, where I live now, and she did a great job of being my eyes and ears on the ground. We hired Rachel and Cate, Plan it Perfect, this past July as "day of" party planners for our daughter's wedding. It was a gift that I gave to myself, so that I could really be in the moment of the wedding day without having anything to worry about. They were AMAZING! Having a wedding planner makes the time leading to the wedding and then the wedding itself more enjoyable. BUT even more important is having wedding planners that have the ability to pivot and the relationship with vendors so they will pivot too which makes a wedding perfect under less than perfect circumstances. When we had to make significant changes to my daughter’s May 1, 2015 Baltimore wedding (47 hotel rooms and rearrange the event to end 2 ½ hours earlier) just three days before the event, the skills and contacts of Rachel Hoffberger and Cate Buscher really came into play. We used Plan It Perfect for day-of planning services for our 2015 same-sex wedding. We worked closely with Rachel Hoffberger who now feels like a friend we have known for years.
I searched all over wedding wire, yelp, the knot, and google for leads. I spoke with many very qualified candidates for the job. Then as a referral from one of our other vendors we came across Rachel. I looked over her website and decided to give her a call. Rachel was beyond sweet and answered all of my questions. However a planner had not been in our original budget. We talked it over and knew that it was a must for us. There is no way I could leave all the details up to a family member or friend. I couldn’t take the joy of our party away from anyone I knew, and honestly I am not sure I’d trust them to deliver. Looking back I know we couldn’t have done it without the help of Plan It Perfect. Rachel and Cate were in two places at once, they were overseeing everything, placing escort cards, bustling dresses, and making sure we stuck to our timeline. Until you plan a wedding you can’t begin to comprehend all the things a day of planner does to make your wedding run smooth. I know firsthand all the things Rachel and Cate did for us and there is not enough space to list even half of it.
Plan It Perfect was the PERFECT fit for us! Rachel had many suggestions of things we never thought of and also got us in touch with an amazing special act for our wedding. Working with Rachel and Cate was effortless. They take an extremely difficult job and make it seem easy, all while having amazing smiles on their faces.
Don’t do what we did and think you can do it all on your own. Don’t try and fool yourself.YOU NEED A PLANNER! If you want to work with an ingenious planner who is easy to work with but as authoritative as she needs to be to be your wedding advocate and go between for all vendors, do yourself a favor and just make the call. You will be happy you did.

We hired Rachel of Plan it Perfect for complete wedding planning and coordination services and I have to say, it was the best money we spent on the wedding. I honestly don’t think I could have done it without her (and I definitely wouldn't want to try)! Rachel helped from beginning to end with budgeting, comparing venues, vendor recommendations (from flowers to photographers to DJs etc.) and so much more. ALL of her recommendations for vendors were spot on and saved us a lot of time and money. Rachel ensured that we were on schedule throughout the planning process and brought up many things along the way that I hadn't even considered yet. Rachel was absolutely amazing, I don't know what we would have done with out her. We hired her as a day of coordinator, but it was so much more than that. Leading up to the wedding she answered any and all of our questions quickly and didn't make me feel like any of the questions were dumb. She finalized all the vendor contracts, ran the rehearsal, took care of any number of details we never would have thought of, created a day of itinerary (we would not have been able to do with out it) and made sure the entire wedding ran perfectly. Thanks to Rachel both my mother and I were able to relax and enjoy the wedding without being stressed about details, or making sure everything went according to plan. I found Rachel a little over 2 months out, as I started freaking out about how everything would run day of. I had contacted 3 event planners and she got back in a timely manner, (one responded 2 weeks later, and one has still never responded to my inquiry). From the moment I met with Rachel, I felt like we were old friends, she is very calm and easy going which I really appreciated, as I was a little high strung at this point.
Throughout the whole process I found her very flexible with everything, meeting times, even sending me kind reminders that I still owed her something. I really appreciated her quick response time and her professional calm manner throughout the whole wedding planning though wedding day. I think she is unflappable. Both the husband I and I agree that this was the most valuable wedding money spent.
Working with Rachel in the planning process made me so relieved that everything would be ok. On the day of, we did not have to worry about anything. In the planning and on the day of, we also worked with two other Plan it Perfect planners: Natalie and Allison. On the day of, both of them were great at giving us the right amount of instruction and direction, Get ready at 1:00, be ready to go here at 1:30. They were also invaluable as I left my comfortable shoes in my hotel room, and they made sure I received them upstairs at the reception. They were like magic, somehow everything ended up where it was supposed to be at the time it was supposed to be there.
Rachel told me in one of our planning meetings that she wants her brides and grooms to be guests at their weddings, and I felt like the guest of honor. I did not have to worry about getting the placecards set up while simultaneously getting family pictures done. I could not be happier with Rachel, Natalie and Allison. They totally rocked our socks and made our wedding day super easy and even enjoyable! :) -

I hired Rachel about a month before my wedding and it was the best decision I made. She was extremely helpful the entire day. She really paid attention to the details so I didn't have to worry about them. I contacted about 20 wedding planners/coordinators and honestly didn’t love any of them. I wanted personal attention and someone with experience both at my venue and with Jewish weddings. Also, most of the planners that did day of wouldn’t book until six months out and being the planner I am, that didn’t work for me. During a meeting with my caterer (Putting on the Ritz) the owner (Bobby) mentioned Rachel of Plan It Perfect. He explained that Plan It Perfect was owned by Cate who he “stole” and now works at Puttin on the Ritz. I called Rachel and figured what’s one more conversation. Rachel from the first chat was sharp, calm, knowledgeable, caring and overall wonderful. We didn’t need to but we met in person and I knew she was “the one” :) Not only did she not care that I was booking her so far out, but she was reasonably priced. Initially I hired her for day-of coordination but about 11 months out I started getting overwhelmed and needed a little more direction (and support to be honest). I called Rachel. She said we could customize something to make it work for me and that’s what I did. We amended the contract to add more meetings and it was all very reasonably priced, especially since it was adding more work for her than she initially intended/agreed to. Since I had already booked her for the wedding she could have really overcharged for the extras, knowing I basically would have had to pay it, but she didn’t. In the wedding industry to find someone who doesn’t overcharge or gouge you just because they can is a rarity. Before I did this I had a couple of “meltdowns” and Rachel walked me through them and helped me out and even reviewed a contract I was very concerned about. None of this was in her contract but she did it anyway and I’m so grateful for that. Overall Rachel was helpful, knowledgeable, talented and resourceful. I'd use her again in an instant.

Rachel Shaw and her staff of Plan it Perfect provided a partial customized
wedding plan for my son's wedding. This included guidance ahead of time with a timeline of tasks each month, and vendor recommendations in the Baltimore area. She also communicated as needed with both parents of the groom and bride and groom. The week of the wedding, she kicked in with assistance with welcome bag drop off at hotels, itemized drop off at the venue, confirmation with vendors, organization of the rehearsal, set up of the reception, and organization of the wedding day from start to finish. She also followed up after the event with packing up items immediately after the event, and reclaiming personal items that had been left, a couple of days later. In addition to her services, she was a source of assistance through the planning process, a source of organization through the event, and an advocate to all of us through it all, with any problems that cropped up, as well as helping with proper pinning of corsages, placement of cummerbunds, or order and timing of the ceremonial processions. Rachel was our saving grace. Our calming presence and voice of reason during our wedding planning process. The whole staff at Plan It Perfect made sure that we were able to enjoy our wedding instead of trying to run it ourselves. Between a huge wedding party, multiple vendors, and guests, they coordinated the day to perfection, never missing a beat, and never missing all of the little details that were so important for us. Rachel is awesome and we would definitely recommend her. -

There is no way to describe how important Rachel was to the success of my daughter's wedding. All along I didn't think I needed a coordinator but luckily our photographer kept suggesting we change our mind. I mean I was already spending a lot of money-but if I hadn't hired Rachel it would have been a little wasted. I hired her only about 10 weeks before the wedding after reading a chapter in a wedding book that talked about schedule. Then I realized who was going to make the schedule work and I panicked. Luckily she was available. She literally took care of everything and let me enjoy the day. There were no slipups but plenty of little things that popped up at the last minute that she handled. All with calmness and aplomb. The price was more than worth it and I would recommend that everyone had a day coordinator if you want to enjoy the event. -

It was my initial thought to do all of the wedding planning myself, I mean how hard could it be right? … Wrong!!! With my crazy work schedule and double the number of guests we originally intended on having at our wedding, my husband suggested I get help and found Rachel with Plan It Perfect. It was the best decision ever!!! Unlike most young brides to be, I never pre-planned or envisioned my wedding day into so much detail, that I was becoming a nervous wreck with every day closer to the wedding. I never realized how many small details I was overseeing and with Rachel’s tremendous help, our wedding turned out to be the Best Day of Our Lives and I was able to enjoy every moment of it. She took the time to answer all of my silly questions and even took care of things which I was not able to handle myself. We got the complete package for Plan It Perfect and it was the best decision we made for our wedding. Rachel is incredible! I was never a nervous bride because she had answers for everything and made all of my choices easy to manage. She has a huge network of people with whom she works, and she guides you in the direction you want to go. She is fun and easy-going, and has an answer before you ask the question! She is there when you need her, and remembers everything that you've discussed along the way. During the wedding, I felt comfortable and confident in the fact that she and her assistant were there, doing all of the backstage work and keeping the event flowing. She is amazing!!! There were so many little details about the wedding that she thought of that never would have crossed my mind. I hired Rachel Shaw of Plan It Perfect to be a Day-of Coordinator for my daughter's recent wedding, and, frankly, I can't imagine not having had that kind of professional help. She went above and beyond the call of duty in terms of chair and linen vendors (we had already picked the "big stuff".) She prepared an itinerary and communicated the final details with all the vendors, which allowed all of us to relax and enjoy ourselves throughout the days leading up to the event, and the big day itself. She ran the rehearsal. She pinned the boutonnieres and corsages. She attended to special dietary needs. She knew what was supposed to happen when, and when things did not appear when they were supposed to ("where are the cakes??"), she whipped out her phone and solved the mystery. I am sure she did things that I still don't know about! She helped make my daughter and her fiance's vision a reality. Kudos to Rachel - she's on tap for the next wedding, too! -

I am so happy to have found Rachel to help with our big day!! Our venue provided sparse support for the day of, and Rachel made everything happen. We hired Rachel for just day-of support, but she really went above and beyond. From the minute we first met, she had things under control. When we discovered a few weeks out that additional help would be needed to help turn over the room from ceremony to reception - Rachel found an awesome team. We were very impressed. Rachel is well-organized, dependable, and we felt that she really wanted our wedding to be fun and successful. She really fit in with our family and friends and she has a great sense of humor.
We are both program managers and it was difficult for us to hand over our wedding to someone we didn't know. After going through the whole process, I don't know how we would have done it otherwise... I would recommend to any bride and groom if nothing else, make sure you hire someone for day-of planning/coordinating. I can't imagine the stress we would have endured if it were not for a good planner! We hired Rachel (and her assistant Kim) for day-of service and had her help us with vendor selections. Not only did she help us find good vendors, but she went above and beyond - she actually picked up our linens and flowers for the wedding (and returned the linens), and surprised us with drying our bouquets. She got us a discount with at least one vendor as well. We also live a few hours from where the event was held so we often had to communicate with Rachel via email and phone. We found her to be very easy to get in touch with, and if we emailed or left messages, she returned them quickly.

Cate is fantastic! We held our wedding ceremony and reception at a museum so we had to contract all vendors ourselves (caterer, lighting and staging, band, linens, valet, etc.). We had finished most of the planning but needed someone to help us with coordinating all the vendors and bring everything together on the day of the event. We hired Cate as a "day of" planner, but that title doesn't fully describe what she did for us. She contacted all of our vendors before the event, created a schedule for us, and oversaw the setup, clean up, and event itself. She provided valuable recommendations that saved us money. Most importantly, having Cate there allowed my husband and I (and all of our family and friends) to completely enjoy ourselves! She handled all vendor questions and problems and made sure we were on schedule so Joel and I didn't have to worry about a thing that day! She is extremely professional, knowledgeable, and friendly! We hired Cate Buscher to help run the wedding ceremony at Grace Episcopal Church and she was able to deliver flawlessly by coordinating such a diverse group in a really tiny church. (And when I say tiny, I mean really tiny. We didn't even have a vestibule or a room for the bridal party.) From the planning phase forth, Cate was a delight to work. She was always accessible, was a guru of wedding ceremony protocol, and was assertive without being overbearing. Everyone knew when to walk, where to stand, etc. It was wonderful to work with someone who truly has the right mix of experience and professionalism. -

One month before the wedding Rachel took charge. She attended all meetings and made sure the big day was organized. She had multiple hands to help the day of the wedding and continued to ensure our parents and all important people were where they needed to be throughout the big day! We had very little stress and it was great although we never really felt like we saw Rachel it went smooth for the most part so I guess that is the point to a day of planner :)

Rachel with Plan-it Perfect was incredible during our planning process and on the day of our wedding. She showed us an awesome wholesale floral shop (Pennock Floral in Laurel, MD) and helped us pick out beautiful flowers for a steal. She also lent us vases and votives for our centerpieces which was a big help. Our venue, particularly the coordinator assigned to us, was less than helpful, flexible, and accommodating, but thank goodness we had Rachel, who more than made up for that. Rachel attended meetings with the venue coordinator and myself and assisted me in making decisions, as I was a very indecisive bride. She had her colleague Cait with her to help on the wedding day which was super helpful! The venue only allowed for minimal setup time. I was nervous about this as the timing seemed unreasonable (an hour and a half to set up all decor- ceremony, 16 table centerpieces, remembrance pictures, cards/gifts area, photo booth, etc. - literally everything). Rachel and Cait achieved this with time to spare and put my mind at ease and kept the whole day running smoothly. I highly recommend Plan-It Perfect! -

I worked really crazy hours during this process and after picking the venue trying to do everything else was just too much, so I hired Rachel using her full planning package. The event coordinator at the hotel recommended her and they worked really seamlessly together. All of her vendor recommendations were spot on. She handled meetings with my family who didn't always agree with my vision very well. Most importantly, the day of things went absolutely seamlessly. I am a person that likes having schedules and details all worked out ahead of time and everything was planned down to the exact time each person's hair and makeup was getting done. We worked with Cate Busher of Plan It Perfect. We used her as a wedding coordinator, also called day-of coordinator. She was something my mom wanted and I wasnt sure of. Her prices were pretty high, but I can tell you this I am so very, very, very thankful I had her services. Cate met with us a month before our wedding. We gave her the contact info of all our vendors and although we thought we were really organized and thought of everything, Cate sent us home with about 20 things we didnt even consider doing that needed to be done. She talks with each vendor prior to your wedding to make sure they know what they are doing and when and was such a blessing the day before and the day of the wedding. She was able to orchestrate the rehearsal and was able to be the bad cop when needed. When the limo company didnt show to pick me up on the wedding day, Cate had been on the phone with the limo company a half hour before we even noticed! We were impressed. When a table didnt get dessert and a guest came up to tell me so, I pointed him to Cate and told him to tell her to deal with it. I looked and moments later they were eating. She also got me a discount with Mikes photography and with my DJ a total savings of over $500. She cold have saved me on my invites too, but I had already purchased them before I hired Cate. She was a total blessing and Im very thankful I listened to my mom and hired her.

Rachel sold me when she said, " You will feel like a guest at your own wedding." Ultimately, after all was said and done, I did. Rachel has a very warm, fun personality and is very positive and friendly. The pros of working with her include: she is a great listener, she texts back right away, she has a lot of experience and she is passionate about the arts/crafts/flowers/design aspect of weddings. Now for the cons. I had to reach out to her proactively many times to schedule random meetings throughout the process with her, as opposed to having a set meeting schedule in place. I felt lost on our timeline often, as we didn't have any kind of project management tool, just emails and a checklist. I had to remember several details that would have fallen through the cracks. She didn't put what I had specifically requested into half of the guest welcome bags so I had to run around on Friday morning finding crab chips and Berger cookies which she said "Were hard to source." (Not true) Her vendor recommendations are excellent, however, she is also very friendly with them so the prices were not hard negotiated. Transportation came back at $6k, I reached out to some competitors and then magically the price dropped to $3k. Our venue tried to charge us $1k for a "wine service fee" which Rachel tried to defend to me as reasonable, after a conversation with the manager, they waived it. (We paid for top shelf open bar which included wine and paid a service charge for servers so it was basically a BS double charge) So I would recommend not just saying yes to the estimates she gives you, but be sure to do your due diligence and get a few other quotes to show to Rachel's vendors (who again did a great job) She sent a list of songs to the band which were in the wrong order, so my Dad and I didn't get to do our dance until later in the night. Rachel is very sweet and creative!! Just be prepared to have to micromanage details to ensure your vision is accomplished. -

Overall the my wedding went well. I was just upset with lack of communication and so many last minute changes like not having Rachel at my wedding and instead her old assistant. I felt as though my wedding was pushed aside a little because she had over booked herself for the month of are wedding.However, Kate was awesome and got things professionally done. -

If I had to plan my wedding all over again, I would not choose Plan It Perfect/Rachel Shaw for my day of wedding coordinating needs.
Regardless of how many event details are reviewed repeatedly, something is bound to go wrong. For this reason, hiring a day-of-coordinator was for me a form of barrier from stress of the inevitable. I was not expecting the person in this role to prevent unforeseen situations, rather to handle them behind-the-scenes in a professional and calm demeanor. In my experience, Rachel was easily distressed and displayed irritation and rude behavior during both the rehearsal and the wedding day. When she encountered hiccups, instead of calmly handling the situation, she frequently would react with sarcastic remarks and from an overall abrasive disposition.
What was most disconcerting for me was to witness Rachel behave rudely toward the guests at my wedding. In one instance, I realized something was wrong because I heard Rachel’s voice yelling at a guest at the next table. When I looked over I was further stunned because I saw her wagging her index finger at this guest while scolding him for something. At the time I couldn’t tell what she was saying, but the guest clearly looked very uncomfortable and embarrassed. Regardless of what the guest was being scolded for, this is an egregious faux pas. I believe a true professional would have handled this in a more polite way. I must add that mine was an inter-cultural/religious wedding with guests who were culturally conservative. The sensitivity and politeness required was discussed with Rachel beforehand, yet it seems that in the moment of anger Rachel forgot her professional role.
I also found it to be unprofessional for Rachel to sit in the bridal room using Facebook, when she should have been outside coordinating a cultural event. When I noticed that the event was already 15 minutes late, I asked her about it and her response was “they have it under control.” As a client, I found this to be an unacceptable response, especially when this led the wedding services to be delayed by 20 minutes. Timing is a critical component for certain events, especially because I had other vendors who were hired during certain time frames, and a delay of 20 minutes meant an extra charge to stay longer or to lose their services before the event was concluded.
During our planning meeting, there were a few tasks that Rachel indicated she would handle, but on the rehearsal day she turned around and asked me if I had completed those tasks. When I reminded her that she had claimed responsibility, she said “oh yeah, that was an oversight.” For example:
-When we discussed vendor meals, Rachel said she was going to contact the venue and handle the details. After the rehearsal she asked me if I had handled vendor meals. I reminded her that she had assured me she was going to raise that question with the venue, she said she had forgotten and will do so. After the wedding I learned that the venue coordinator was never contacted. Instead other vendors notified me that Rachel had informed them that they could help themselves to the food set out for the wedding guests.
-Rachel had assured me that she coordinated with all the vendors on dates and times for when they were needed. During the rehearsal she asked me what time the officiant was expected to arrive. When I reminded her that she was handling the coordination of the rehearsal, she called the officiant and it seemed that it was the first time she learned that he does not attend rehearsals.
-Setting up table cards was discussed and I had included her in an email that outlined the names of the tables. Yet, Rachel and her assistant overlooked that they didn’t place the table card on the sweetheart table – something that was of sentimental value to my husband and I.
-Rachel had the florist contract, which she had requested so she could be clear on what was to be delivered and for whom. This included bouquets for my husband’s stepmom and sister, it was a gesture we had put a lot of thought into to demonstrate our respect for them. Neither of them received their bouquets. Later when we were looking through the pictures we realized that the grandmothers were given both their pin corsages and the small bouquets. These details were outlined on the florist contract. After the wedding, when I asked Rachel about it, she admitted that she had an old version of the contract, which is an unacceptable oversight from a wedding coordinator.
I will also share a glimpse of some of the complaints I received from guests, which caused me far more angst:
During the reception, apparently one guest had asked Rachel what was the evening program and when the dance floor was going to open up. Supposedly, after the DJ opened the dance floor this guest received the following response from Rachel, “You wanted to dance, so go, what the F*** are you standing here for?” There is a protocol on how guests are approached and spoken to – a line that any professional does not cross. This is yet another egregious error on Rachel’s part. Unfortunately, there were other guests standing nearby who also brought this to my attention.
The emcee at the reception complained that she received conflicting guidance from both Rachel and her assistant. According to the emcee, at one point Rachel’s assistant approached and told her to announce dinner is served and then Rachel told her not to announce dinner to the guests because Rachel wanted to call each table one at a time. Meanwhile, when I discussed the reception plan with the emcee and Rachel I had said that I wanted dinner to be announced because I wanted the guests to be aware of the program. This demonstrates poor coordination and increased confusion.
The most notable aspect of what I have mentioned above is the fact that this information came to us after the wedding, very much unsolicited. Most guests were quite respectful of my choice for a wedding coordinator, but still felt the need to footnote their negative experience. Typically people only highlight what they loved about a wedding (especially to the bride), but there were some really frank observations and encounters that I could not just let go. The cultural misunderstanding or perhaps a lack of knowledge of different customs is quite normal; however, coming from an open and respectful place of learning is what allows one to be an effective cross-cultural communicator in all settings. Although I am not involved as a professional in the wedding coordinating field, I would assume the hallmark characteristic of someone in this role is to be intuitive, communicative, sincere, and calm.
