We sincerely apologize if that is how you felt in anyway, it is never our intention to be difficult by any means, and while your wedding was a different style than our typical wedding, we truly worked really hard to create the feel and flow that you wanted, and we stayed long past food service to make sure everything flowed as you wished. We also never guarantee the whole day for set-up, we only guarantee 2 hours, but allowed set-up to start at 10am. Is there something specifically that we are missing that you were unhappy with or you felt we contradicted? We truly want all of our clients to leave happy with their Wedding celebration, and it was our impression you were happy, and would love to know where we missed the mark in order to continuously improve our service moving forward.

This review does not accurately reflect the facts. Our contract stipulates that clients have two hours prior to the start of the event for set-up. This is our standard set-up time that we offer to all clients. Two hours is the maximum amount of time we can allow for set-up and still offer two time slots per day. If clients need more than two hours, we can certainly arrange for it, but there is an additional fee because we have to forego offering two time slots in that case. We try our best to convey this information to each and every client and potential client that visits Galleria Marchetti.
On Saturday, which is the day of the week that this wedding took place, the two time slots we offer for our Pergola space are 10am to 3pm and 5pm to 11pm. This wedding was booked for 5pm to 11pm. All of our evening wedding receptions are six hours in length, unless special arrangements are made.
Due to the fact that there are only two hours available for set-up between the two time slots, ceremonies have to take place during the two hour set-up period, usually thirty minutes prior to the start of the reception, or the last half hour of set-up. If we were to start a ceremony a full two hours after the beginning of set-up, a ceremony for the evening time slot would start at 5pm rather than 4:30pm which would cause the reception to be cut to five and a half hours due to the fact that Pergola events must end no later than 11pm.
Starting wedding ceremonies an hour and a half into the set-up time has never been a problem because vendors can continue to set up the reception area while the ceremony and/or cocktail hour is taking place, thus extending their set-up time. So at a minimum, even if the reception is to take place in the same area as the ceremony, as it did for this event, the vendors still have the entire cocktail hour to set up the reception space while the event is having their cocktail hour in another area.
This wedding planned on doing the ceremony onsite, so the ceremony was scheduled for 4:30pm, thirty minutes prior to the official start of the reception. It is fair to say that it was perhaps confusing to this client that the ceremony was not counted as the official start time of the event. Our contract did not make this explicitly clear. We try our best to make this clear to each and every client in our in-person, telephone, and email communications. Perhaps we did not make this clear in the beginning with this particular client, or perhaps she did not understand or forgot it over the year-long period between initially visiting our site and actually having the event.
In either case, it is quite certain that she was informed of the possibility that there could be an event earlier in the day because this is information that is given to each and every client that tours our venue.
In addition, she was told that there would be an earlier event on the day of her wedding and thus her set-up time started at 3pm during her tasting, which occurred six weeks prior to the wedding, not two weeks as she stated in her review.
We also had a meeting with the client, her parents, and her planner four weeks before the wedding to discuss the issue of set-up time. Her father, who was quick to point out that he is an attorney, told us that contractually we had to allow them access to the space at 2:30pm because the contract stated that the set-up time was two hours prior to the start of the event. We explained to him that the two hours of set-up time is two hours prior to the reception, not the ceremony, and that it was impossible to grant access to the Pergola at 2:30pm because an event had the space until their end time of 3pm.
Apparently the issue was that the florist decorating the area for the ceremony said that they needed a full two hours prior to the ceremony and that if they only had one and a half hours prior to the ceremony they would have to charge the client more money. We offered to allow the florist to come in at 2:30pm and even way earlier if needed to use our large tented pavilion and indoor dining room as a staging area to do as much work as needed to prepare for the ceremony and reception.
Short of telling the other event they had to leave before their end time or paying her florist the extra money that was being demanded, we were willing to do many things to accommodate the need for more set-up time for the florist including using our 6,800 square foot tented pavilion and 3,000 square foot indoor dining room to stage the floral and decor items as early in the day as 8am. In fact, their florist arrived at our venue in the morning at 10am and spent all morning and afternoon setting up the floral and decor for the wedding. So they actually had way more than two hours to set up at our venue. The only thing we could not accommodate was granting access to the Pergola earlier than 3pm because another client was to be in the space until 3pm.
For reasonable clients, this should have been more than enough to make up for the misunderstanding regarding the fact that the official start time is the start time for the reception and not the ceremony as far as set-up time is concerned. We pride ourselves on being flexible and doing anything within reason to lower stress and address issues if they come up and to make sure things go as smoothly as possible. We would have been happy to allow them to start setting up in our Pergola space in the morning if we did not have an event booked until 3pm even though the contract stipulates just two hours of set-up time. And in fact we allowed them all day to use our unused spaces to stage their decor for the event and we were happy to do it.
But this client was never going to be satisfied with anything other than getting their way, even if what they wished for was not possible and in fact would ruin another client's event. The father of the bride was more interested in flexing his legal muscles as a lawyer and trying to bootstrap himself into getting access to the space while it was scheduled to be used for another event than in reaching a solution that didn't involve throwing the other party out early.
We admit that the misunderstanding about set-up time for weddings with ceremonies is at least partly our fault and we have taken steps to make it more clear for future clients. But in almost 20 years of this policy, this is the only event for which it became an issue. And we did everything within our power to make sure the client's vendors had as much set-up time as they needed.
One last thing regarding this wedding: After decades of being in the special events industry one would think one has seen everything. But no one at Galleria Marchetti had ever previously encountered anything close to what happened on the day of the wedding for which this review was written.
The father of the bride entered the Pergola at 2:30pm, thirty minutes before the daytime event was to end, and started telling guests of the other event to leave because he was entitled to the space. He then confronted the host of the daytime event, told the host that he was entitled to the space at 2:30pm, and then offered the host his business card and told the host to get in touch with him if he was interested in taking legal action against Galleria Marchetti.
Needless to say, we received a scathing response from the host of the daytime event for what transpired at the end of his event. He felt humiliated in front of all his guests because someone had come in and told all of the guests to leave. The host of the daytime event, mortified, asked us, "How could you allow someone to come into our event and treat our guests like that?" Naturally, we felt terrible. All we could say was that we were extremely sorry that it happened but that there was no way we could have foreseen such a thing happening because in decades of being in business we had never seen a client behave in such a despicable fashion.
In her review the bride states that the other event was still partying at 3:10pm and that they told her that they had the Pergola until 4pm. All of those statements are false. The ceremony was scheduled for 4:30pm, not 4pm, and the reception was scheduled for 5pm. We have surveillance cameras all throughout the venue, and at 2:30pm the surveillance footage shows the father of the bride going table by table telling guests of the daytime party to leave and then speaking to the host of the daytime party for an extended period of time. By 3pm, almost all of the guests of the daytime party are gone and Galleria Marchetti staff and vendors for the evening wedding are busy getting the space ready for the evening wedding.
