Amy is the THE best wedding planner!
As the mother of the bride, Amy was a true gift. She guided us to the perfect venue for our daughter and now husband, gave us great recommendations for the vendor team, helped with the vision the kids had for tablescapes and placement for everything and she made sure that their wedding day was everything they had dreamed of without them having to stress about a thing! In each meeting she asked questions to truly understand what they had envisioned for each aspect of their big day. She made suggestions when advise was sought and never imposed "her way" on anything.
She and her crew are so organized and on top of each big and little detail that we were truly able to enjoy the beautiful day.
I have been saying for months that Amy is worth her weight gold!

Amy Varain is the Michael Jordan of wedding planning. From the first interview, my fiance, now wife knew if we were going to plan a wedding in California while living across the country, we would need Amy by our side to make this work. She is so incredibly helpful during the planning process when it comes to understanding timelines and navigating vendors. She will make sure you ask all the right questions and know what's reasonable within your price range. On the day of the event, her and her team were spectacular. There were little things she would do like make sure we had our special drink right after the ceremony, and double check our anxious inquiries during the event. (for instance, I was worried maybe the music wasn't playing at the cocktail hour because you couldn't hear it from where we were positioned). Without hesitation, she radioed her team to ensure everything was going smoothly. I could tell that Amy takes her job so seriously and her number one goal was to make sure we got to enjoy our event. A lot of married couples have told me they didn't get to enjoy their wedding and soak it in. because of Amy, my wife and I were able to have genuinely one of the best days of our life. -

Amy Varain the BEST wedding coordinator
Amy Varain was nothing short of extraordinary. From start to finish, she went above and beyond in every possible way but what truly set her apart was how she handled absolute chaos with total grace. On our wedding day, we were hit with a massive storm, even a tornado outside and somehow, Amy didn’t miss a beat. While everything around us was unpredictable, she was calm, organized, and completely in control. She made decisions quickly, kept everything flowing, and shielded us from any stress so we could stay fully present. Even though my original vision for our wedding at Black Oak Mountain Vineyards didn’t come to life exactly how I had imagined because of the storm, Amy still made everything incredibly beautiful and perfect in its own way. She pivoted effortlessly and created a day that honestly exceeded anything I could have planned. Looking back, I wouldn’t change a thing. Because of her, I had the time of my LIFE. I loved every single second of our wedding day, and that is entirely thanks to her ability to adapt, lead, and care so deeply about her couples. She is not only incredibly talented and professional, but also the kind of person you genuinely want by your side on one of the most important days of your life. If you’re even considering hiring Amy, do it. She is worth every penny and then some. I truly cannot imagine our day without her -

It is hard to put our experience with Amy into one review. From the very beginning, she exceeded every expectation and made the process more meaningful, organized, and enjoyable than we ever imagined.
We booked Amy 18 months before our wedding, and from the start, we knew she was the perfect planner for us. While she came highly recommended as a preferred planner for Black Oak Mountain Vineyards, it was after watching her interview with Steve Buzzard, our DJ and another preferred vendor, that we were completely sold. Her professionalism, warmth, and deep understanding of the wedding industry shined, and we instantly knew she was the one to bring our vision to life.
From day one, Amy guided us with clarity and organization. She provided detailed timelines, checklists, and vendor recommendations, keeping us on track. Every meeting was purposeful, and she always came prepared with an agenda and next steps, which we deeply appreciated as a Type A couple. Her attention to detail mirrored our own and made the experience smooth and stress free.
Our wedding style was coastal yet vineyard inspired, with a Restoration Hardware feel featuring neutral tones, natural textures, and timeless elegance. Amy completely understood our aesthetic and made it come alive. From the layout and furniture to the smallest design details, everything reflected our vision. She has an incredible eye for style and knows how to balance creativity with sophistication.
One of the things we valued most was Amy’s exceptional communication. She was always a call, email, or text away, ready to answer questions, calm concerns, or talk through ideas. Her responsiveness gave us peace of mind, and her communication with vendors was equally impressive. She handled every conversation with professionalism and care, ensuring everyone was aligned and our vision stayed consistent.
Amy has a gift for anticipating needs before you even realize them. When small hiccups came up, she handled them with grace and efficiency. When we needed rentals, she found one vendor to simplify everything. When it came to linens, she managed every detail so we did not have to worry.
Then came wedding week, when rain appeared in the forecast for our outdoor venue. Amy immediately created a backup plan and helped us pivot seamlessly. Even though we had not wanted a tent, she transformed it into something stunning, elegant, and unforgettable. She turned what could have been stressful into something magical. In the days before the wedding, Amy’s family helped in wonderful ways, hanging lighting, solving problems, and ensuring everything came together beautifully. Amy is so talented at building, crafting, and creating. Her hands-on approach added a unique and personal touch to our celebration.
On the wedding day, Amy and her team were flawless. Every detail ran perfectly, from setup and vendor coordination to timing and personal touches. Her team was kind, attentive, and professional, which speaks volumes about her character.
Amy did not just plan our wedding. She helped us create an unforgettable experience. Amy is truly the best! From the very first time meeting, we knew she was someone we could trust and rely on. Even before we officially hired her, she offered straightforward, thoughtful advice that ultimately led us to the venue where we got married. That generosity and expertise set the tone for everything that followed.
Amy is knowledgeable, organized, and refreshingly direct in the best way possible. She constantly went above and beyond for us—she even came to a design session with the rental company to make sure everything was seamless. Throughout the process, she listened carefully to our vision and executed it beautifully.
We chose her wedding management package, which was perfect for us. We wanted to handle most of the planning ourselves but have a professional guide us along the way. Amy struck the balance perfectly—she stayed involved in the details from the start so that by the time she fully took over, we felt zero stress. On our wedding day, everything ran incredibly smoothly thanks to her and her amazing team. She even handled a tricky situation at the end of the night with total professionalism and ease.

Amy and her team were wonderful wedding planners for my wife and I. We started our planning journey a couple of years out from our date and booked a partial planning package. Amy was transparent about her services, where she could add value, and what was required of us to make our day successful. A few of the many highlights to our success and how Amy played a direct role:
Budgeting: The old cliche of one partner being a penny pincher and the other having luxurious dreams was in full effect. Though, I’ll admit that my price point was often defined by some level of industry ignorance. Amy really helped guide this conversation by having us focus on three areas where our largest investment would go. As for the others, we could find opportunities to be creative or save money. As an activity we thought about the last few weddings we attended and the three things that stood out the most. It was a great perspective to understand that your guests won’t recognize every detail, and how you shouldn’t overspend on everything. Sharing our own key components and the reasons why helped us align on budgets consistently throughout the process and gave Amy insight as to how she could best provide options.
Details, details, details: My wife spent a significant amount of time researching and reading about weddings. In addition, she has her own background in event management. Likely a frustrating archetype for a client of any wedding planner. But Amy always accounted for that extra layer of detail that we missed. And was a trusted extra layer to review our vendor contracts. Amy provides a process and structure to the timing of when each step should be started and completed. The list is a template and can change to the nuances of your own day and needs. Our planning site had usable templates for a variety of circumstances. Every note, document, & penny was accounted for easy reference.
Listening and connectivity: Amy really took the time to listen to each one of our personalities and address our concerns or questions. I personally never felt like a secondary decision maker in the process even though my wife had more outspoken thoughts and visions to share. We had multiple meetings and check-ins, and I quickly found myself enjoying our conversations. It wasn’t always just business - we shared stories and laughs. These moments really enhanced how well the wedding day was executed because Amy knew us and our personalities. She knew how we would want any issues to be handled and where our priorities were.
Day of coordination: Amy brings a strong team together on the day of to make sure all guests and vendors are managed to perfection. Even if there were issues, you wouldn’t hear about them, and you certainly wouldn’t see the impact. As mentioned before, Amy’s ability to connect to her clients really shines on the big stage. She is well educated on your vision and how to make that happen. I had full faith and confidence in her abilities going into the day, and was even more impressed by the result.

Choosing Amy as my wedding planner was the best decision I made! From the moment I first reached out to her, I knew she was the perfect fit for my type-A personality. When I first began the wedding planner search (2 years prior to the wedding date, yes really!!) Amy responded to my inquiry in record time – it was like she was waiting just for me! That immediate responsiveness and "on-the-ball" attitude continued throughout the entire planning process.
Over the last few months leading up to the wedding, Amy was a lifesaver. She took all the stress out of wedding planning, handling everything with incredible organization and attention to detail. She was amazing at keeping track of deadlines, taking over all communication with our vendors, and keeping my husband and I calm and excited for the day. We were really able to enjoy being engaged and staying in the moment in the last few weeks.
The wedding day was flawless! Amy made sure everything ran like clockwork. If there were any hiccups behind the scenes, I had absolutely no idea. My family was so impressed with how smoothly everything went and how Amy and her team were on top of every detail.
For all my fellow Type-A brides out there, I cannot recommend Amy enough. She truly allowed me to be present and savor every moment of the wedding day. As someone who is a former event planner and current project manager I could not have done it without Amy.
